Refund Policy

At RainforestDialogues, we strive to provide excellent service to all our clients. This Refund Policy outlines the conditions under which refunds may be issued for services booked through rainforestdialogues.com.

1. Cancellation and Refund Terms

1.1 Studio Booking Cancellations

More than 48 hours before scheduled session: Full refund (100%) will be issued to the original payment method within 5-7 business days.

24-48 hours before scheduled session: Partial refund (50%) will be issued. The remaining 50% covers administrative costs and lost booking opportunities.

Less than 24 hours before scheduled session: No refund will be issued. However, you may reschedule your session one time subject to availability.

1.2 Production Package Cancellations

For comprehensive production packages (editing, mixing, distribution services):

  • Before work begins: Full refund minus any non-refundable deposit (10% of total cost)
  • After work has commenced: Refund based on percentage of work completed, minus deposit
  • After final delivery: No refund available

2. Non-Refundable Items

The following are non-refundable:

  • Custom artwork or branding design once approved by client
  • Third-party costs (hosting fees, distribution fees, music licensing)
  • Completed and delivered services
  • No-show appointments (client fails to attend without prior notice)

3. Service Quality Issues

If you are unsatisfied with the quality of our services, please contact us within 7 days of service delivery at support@rainforestdialogues.com. We will:

  • Review your concerns and the delivered work
  • Offer revisions or corrections at no additional cost (if applicable)
  • Consider a partial or full refund in cases of significant service failure

4. Technical Issues

If technical issues on our end (equipment failure, facility problems) prevent us from delivering your session:

  • We will offer an immediate reschedule at your convenience
  • If rescheduling is not possible, a full refund will be issued
  • We may offer additional complimentary services as compensation

5. Force Majeure

In cases of events beyond our control (natural disasters, pandemics, government restrictions), we will work with you to:

  • Reschedule your session when operations resume
  • Transfer your booking to remote services if applicable
  • Issue a full refund if neither option is suitable

6. Refund Processing

All approved refunds will be processed within 5-7 business days to the original payment method. Please note that your bank or payment provider may take additional time to reflect the refund in your account.

7. How to Request a Refund

To request a refund, please contact us with:

  • Your booking reference number
  • Reason for refund request
  • Original payment details
  • Preferred resolution (refund or reschedule)

8. Rescheduling Policy

As an alternative to cancellation, we offer flexible rescheduling options:

  • First reschedule is free if done at least 24 hours in advance
  • Subsequent rescheduling may incur a RM 50 administrative fee
  • Rescheduled sessions must be completed within 3 months of original booking

9. Dispute Resolution

If you disagree with a refund decision, you may escalate the matter by:

  • Emailing detailed concerns to support@rainforestdialogues.com
  • Requesting a review by senior management
  • We will respond within 3-5 business days with a final resolution

10. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated revision date. Your continued use of our services constitutes acceptance of the updated policy.
